Skilling Up for R2A (Release 2A)

As HR User, there are different roles that we play in GEMS. Each role consists of specific skill sets that we need to obtain in order to operate GEMS effectively. A training program will be provided to us before 'Go-Live' day to ensure our readiness in applying GEMS into the work that we do everyday. This article will help us to understand:

  • the type of roles and skill sets that we will be trained on

  • how we will be receiving those training

 

Type of Roles and Skill Sets Trained in Release 2A

 

The type of skills that we will be trained on depends on the roles that we have in GEMS. Below is a brief summary on the type of roles and skills that we will be trained on:

Organizational Management Human Resource Specialist
  • Plan and manage the manpower capital of a department.
  • Perform succession planning for soon to be vacated positions.
  • Identify a department for auditing and manage the schedule for it.
  • Verify and check information for Scheme of Service are thorough and complete.
  • Generate details of a Scheme of Service.
  • Manage and monitor requests for room bookings.
  • Review and analyze career paths of employees to match future vacant positions.
Department Administrator
  • Formalize proposed Scheme of Service onto an online form.
  • Amend and/or update proposed Scheme of Service for resubmission.
  • Review a department's headcount budget or budget warrant requests.
Survey Administrator
  • Manage the procedures of staff survey by creating surveys, distribution list and response types and viewing a summary of the survey.
Forum Administrator
  • Create a forum and define its policy of conduct online.
  • Discretionary selection of members to participate in the forum created.
  • Monitor and view forum discussions in GEMS.
Forum Moderator
  • View discussions in a forum and add, edit or delete topics to forums.
Employee Development Management Learning Administrator
  • Identify learning objectives and design training catalogues and courses.
  • Set up the learning environment and specify who is eligible to access the environment with learners group features.
  • View and manage the training schedules of training courses offered.
Learning Content Developer
  • Create a new or modify existing learning content.
  • Cataloguing learning content to optimize searching capabilities.
  • Assemble and/or group learning content.
  • Publish learning content in GEMS.
Learning Enrolment Administrator
  • Review and track status of course sessions and learner's enrolments.
  • Manage and monitor requested enrolments of learners.
  • Generate and analyze training enrolment reports.
  • Record attendance, grades and feedback comments of learners.
  • Track progress of learning activities.
Absence Management Human Resource Specialist
  • Manage and update leave entitlements, leave takes, work days and holiday schedules.
  • Calculate leave accrual balance and verify an employee's available time for leave.
  • Update leave information on behalf of an employee whenever necessary.
  • Review an employee's absence history records or the staff attendance of an entire department.
  • Review the retirement date of employees in a department in advance.
Performance Management ePerformance Setup
  • Configure and manage the general settings of how ePerformance is to work in GEMS.
  • Create and define document templates such as performance appraisal forms.
ePerformance Manager
  • Evaluate the performance of employees.
Recruitment Management Recruiter
  • View, create and/or update job openings for a particular department.
  • Review, update, approve and/or deny requests for a job.
  • Post job requisitions internally and externally.
  • Search for eligible applicants in a database and track correspondence.
  • Receive, track and update resumes and job applications.
  • Review list of applicants that meets or exceed final screening criteria and match it to job openings.
  • Request for security vetting for chosen candidates and update candidate status.
  • Schedule and conduct interviews with chosen candidates.
  • Present and Manage Offers to chosen candidates.
 Testing Administrator
  • Prepare and manage examinations including venue, manpower and defining questions and answers.
  • Record, route and publish examination results.
Human Resource Specialist
  • Enter new hire information into GEMS.
Benefits Management Housing Specialist
  • Plan and set up the general claims configurations for housing rent
Benefits Administrator
  • Plan and set up the general claims configurations for uniforms
  • Set up definition and security elements of eligibility for Benefits.

 

 

 

The Training Program

The training program is made up of a series of role-specific courses to allow us to focus on the roles that we will be having in GEMS. Facilitated with interactive computers, the training workshop will be conducted with a learn-by-doing method thus providing us with a hands-on experience of GEMS in a safe training environment.

Below are some of the facilities that will be provided for the training:

 

 

HR User Training Kit

The HR User Training Kit is a folder that HR Users can use as a single-point of reference during and after training. Some of the useful materials that the folder will contain are:

  • GEMS Training Program and Schedules

  • GEMS Training Materials

  • Quick Guides on GEMS transactions

  • GEMS Go-Live Support Information

Tip! The HR User Training Kit will be provided at the HR User Mass Briefing event so be sure to attend!

 

Computers for Training

A computer will be dedicated to each HR User where GEMS electronic transactions can be trained and practiced in a safe environment. Under the close guidance of skilled trainers we, as HR Users will be able to understand the type of online transactions available in GEMS and get lots of exercise to familiarize ourselves with the system.

 

Tip! Call on the trainers should when encountering any difficulties in performing a particular GEMS transaction.
