Preparing for
'Go-Live' Day
GEMS
Release 2A will be going live in the Prime Minister's Office
(including Energy Division) and its five departments on the 28th
January 2010. On this day, there are a few things that we must do to
ensure that we have proper access to the functionalities that GEMS
has to offers us. This article will tell us what must be done on 'Go-Live'
day, why and how to prepare for it.
What We Must Do On 'Go-Live' Day
On 'Go-Live' Day, GEMS
will serve all HR Users working in the Prime Minister's Office
(including Energy Division) and its five departments with a complete
set of HR online functionalities.
Provided below are three things
that all HR Users MUST do on the 28th January 2010:
1. Log In to GEMS
Use the work computers
in our office to log in to GEMS. To sign in to GEMS, we will need a GEMS User ID, which has been
set as similar to our Identity Card Number. It is
important to note that the
systematic structure of GEMS security levels ensure that each
User ID gives appropriate access to perform the functions
required for our position.
Therefore, it is our
responsibility to keep our password confidential at all times.
2. Check &
Update Personal
Information
Once we have gained
access into GEMS, we should check that the personal information
about us is accurate and up-to-date. Any inaccuracy in our
personal information could cause administrative issues with our
employment records in GEMS. For example, if our mailing address
is not updated, there is a possibility that important letters
could be sent to the wrong address.
3. Begin Our Work in GEMS
On 'Go-Live' Day,
we can begin using the skills that was attained during our
GEMS Training Workshop and transition our manual
HR work processes into the new system.
How To Prepare for 'Go-Live' Day
To improve our experience
during 'Go-Live' day, we should take steps to prepare ourselves with
what we already have. Provided below are three of our key assets that we
can use to help us get ready for this eventful day:
1. HR User Training Kit

As HR Users, we should already have a HR User Training Kit
given to us during the training that we attended.
The HR User Training Kit is a folder that HR Users can use
as a single-point of reference before, during and after GEMS
'Go-Live'.
Some of the useful materials that the folder contains
are:
Locate this folder, revise through the online transactions
that are most relevant to our own line of work and safely
keep it somewhere in our work place.

2. GEMS Go-Live Activities

An article has been featured this month about the various
activities that will be occurring at our workplace on
'Go-Live' day. Take this opportunity to read and understand
what is going to happen so that we know what to expect on

3. Check Our Email Inbox

On GEMS
'Go-Live' day, we will receive an e-mail announcing that
GEMS has arrived in our department. In this email, there
will be important information and reminders of what we, as
HR Users, should be doing on this day. We must make sure
that we check our email inbox first thing in the morning of
'Go-Live' day to read and understand what we need to do as
HR Users. |
