GEMS Activities - What to Expect

 

As GEMS 'Go-Live' day draws near for a particular ministry, department or government agency, a series of change activities will be taking place to prepare future GEMS users for the newly implemented system. Provided below are some of the major and common activities that will be occurring in the workplace:

  1. GEMS HR User Mass Briefing

  2. GEMS HR User Training Workshop

  3. GEMS 'Go-Live' Day

  4. GEMS Road Show for Self Service Users

 A brief description for each of the major activities is provided in the table below:

1 GEMS HR User Mass Briefing

HR User

(HR Administrators)

The mass briefing event is intended for all prospective HR Users that will be using GEMS once it is rolled out.

 

Attending this event will help to ease our understanding about GEMS and what to expect before, during and after GEMS is rolled out into our department or ministry.

 

See our local Change Agents in action as she/he will help us to

  • understand about the positive changes that GEMS will bring,

  • know the implications it will have in our working environment 

  • know how to prepare for the training program that we will be attending soon.

 

2 GEMS HR User Training Workshop

(HR Administrators)

As HR User, there are different roles that we play in GEMS. Each role consists of specific skill sets that we need to obtain in order to operate GEMS effectively.

 

A training program will be provided to us before 'Go-Live' day to ensure our readiness in applying GEMS into the work that we do everyday.

By attending the training workshops, we will

  • see how GEMS online processes works

  • understand what our new GEMS roles are

  • obtain the skill sets needed to operate GEMS

  • receive plenty of practice on using GEMS

 

 

3 GEMS 'Go-Live' Day

HR User

(HR Administrators)

On 'Go-Live' Day itself, several key activities will be occurring to ensure that we as HR Users have a smooth experience of GEMS in our actual work place.

The key activities that we should be aware of are:

  • 'Go-Live' Notifications
    • Email notifications and announcements made by local Change Agents will inform us of useful 'Go-Live' information such as how to change password and validate our personal information.
  • GEMS Roving Team tour

    • The roving team are made up of a group of GEMS specialist who are ready to provide us with any personal support or troubleshooting issues we may face on the day itself.
The notification and support activities will help us to
  • know the exact time to use GEMS in our workplace
  • understand the activities that will be happening
  • know what to prepare for before the Roving Team arrives
  • acquire any help from the Roving Team whenever necessary
4 GEMS Road Show for Self Service Users Self Service Users (Normal Employees)

Intended for civil servants that are not HR Administrators, the road show provides all Self Service Users with the opportunity to

  • know more about GEMS,

  • see the Self Service features that are available for use

  • collect dedicated UserIDs and Passwords for new GEMS account that has been created.

As Self Service Users, it is recommended that we attend the road show when it arrives in our ministry or department.

 

 

As Self Service Users, the GEMS Road Show will provide us with
  • Understanding what GEMS is all about
  • Know the online services that GEMS has to offer us and how to use them
  • A UserID and Password for our new GEMS account
  • Know what we must do with our new GEMS account

 

 

More details of the major events such as the time and place that it will take place will be provided at a later date.
